ARTICLE 1. PARTICIPATION, PAYMENT, CANCELLATION
1.1 Registration for participation in the (online) event can only be done by means of the FHI registration form.
1.2 Participation is on a first-come, first-served basis until the maximum number of participants is reached.
1.3 Registrations above the set maximum will be registered on a waiting list upon request.
1.4 The participant (exhibitor) will receive the invoice for the costs of participation 1 month before the start of the (online) event. If the participant is charged fixed and variable costs for an (online) event, the invoice will be sent two weeks after the (online) event.
1.5 The participation fee must be paid according to the payment conditions stated on the invoice. If no specific conditions are stated on the invoice, the participant will pay within thirty (30) days after the invoice date.
1.6 Cancellation of participation is only possible in writing. 'Written' also includes electronic communication.
1.7 Up to 4 weeks before the start of the (online) event, the cancellation fee is 50% of the participation fee. After that, the full participation fee is due.
ARTICLE 2. CHANGING DATE AND LOCATION, CANCELLING (ONLINE) EVENT
2.1 In case of insufficient registrations, FHI reserves the right to change the event location or cancel the (online) event. The participant will be notified of this no later than four weeks before the (online) event.
2.2 FHI may, in consultation with the participants, change the date set for the (online) event or decide not to proceed with an (online) event.
2.3 If the (online) event does not take place, the participant will receive a refund of the participation costs already paid, unless there is force majeure and/or unforeseen circumstances; if this is the case, the parties will reasonably consult with each other about the amount of the refund obligation.
2.4 FHI is in no event liable for any damage caused by changes to or cancellation of (the date of) the (online) event.
ARTICLE 3. PUBLICITY AND VISITOR DATA
3.1 The participant who has registered for the (online) event via the registration form will be mentioned as such in communications made by FHI for the (online) event, for example mention of the company name on the website and participant overviews.
3.2 By registering, the exhibitor declares to agree to the attached 'Terms of Use for Visitor Files'. These conditions are intended to guarantee the privacy of visitors. The visitor file (with name and address details of the company, the name of the visitor and the e-mail address of the visitor, and provided that explicit permission has been obtained for this) is only provided on the condition that the exhibitor agrees to the attached terms of use.
ARTICLE 4. LIABILITY
4.1 Goods are located at the event location and on the associated grounds at the expense and risk of the participant.
4.2 The participant is liable for and must adequately insure himself against all damage of any nature.
4.3 The participant is obliged to compensate FHI for all damage suffered as a result of a shortcoming attributable to him, including failure to comply, improper compliance or untimely compliance with any provision of these terms and conditions and/or other regulations and instructions. The participant indemnifies FHI in this regard against claims from third parties, including the event location.
4.4 FHI is not liable for any damage, directly or indirectly suffered by the participant, his staff or visitors, including consequential damage, business damage and damage due to theft, vandalism or any other cause whatsoever, unless it can be accused of intent or gross negligence in this regard.
4.5 The participant guarantees that he will not infringe on the intellectual property rights of third parties. The participant will indemnify FHI against all claims from third parties that are based on any (alleged) infringement of such rights.
ARTICLE 5. SPECIAL RULES OF CONDUCT
5.1 FHI determines the layout and size of the exhibition space made available to the participant.
5.2 The participant is obliged to use the exhibition space allocated to him in a manner that corresponds to the purpose for which it has been allocated to him.
5.3 Placing and distributing materials (flyers, brochures, etc.) on catering terraces, tables, counters and other places outside the participant's exhibition space is not permitted.
Terms of Use for Visitor Files (see 3.2)
GENERAL
1. Exhibitor processes the Personal Data obtained on the basis of the written instructions of FHI as set out in these terms and conditions. Exhibitor will not pass on Personal Data to other organisations, unless a legal provision obliges it to process it. In the latter case, the Exhibitor will inform FHI, prior to processing, of that legal provision and which Personal Data are shared.
2. Processor undertakes to make the Personal Data inaccessible to those persons within its organization who do not necessarily need access to the Personal Data to perform their work.
3. Processor guarantees that sufficient technical and organizational measures are taken to ensure an appropriate level of security.
4. Exhibitor will not process or have processed the Personal Data outside the European Economic Area (EEA country) or in a country where an adequate level of data protection is provided without prior written consent from FHI.
5. The exhibitor shall ensure that its personnel are bound by the conditions included in these terms and conditions.
6. These terms and conditions apply for an indefinite period.
7. The rights and obligations under these terms and conditions cannot be transferred by Exhibitor to another party without the prior written consent of FHI.
DATA LEAK(S)
8. Exhibitor shall notify FHI without delay and no later than 24 hours after Exhibitor has become aware of it of any breach of the security of Personal Data. Exhibitor shall report this to FHI:

9. Exhibitor shall report to FHI, at or as soon as possible after the report referred to in paragraph 8, (1) what the (suspected) cause of the infringement is, (2) what the (currently known and/or expected) consequence of the infringement is and (3) what the proposed solution is. The inability to answer the questions referred to in this article shall not affect the obligation to make the report referred to in paragraph 8.
REQUESTS FROM THOSE INVOLVED
10. FHI shall inform the Exhibitor of requests from Data Subjects to inspect, correct and/or delete the Personal Data.
11. Exhibitor shall handle all requests for information from FHI regarding the processing of the Personal Data as quickly as possible.
